Job Description

Reporting to the CEO, the Executive Administrative Assistant provides executive support in managing the overall operation of the Foundation and is responsible for the organization and co-ordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency.  

 

The Executive Administrative Assistant coordinates executive outreach and external relationship efforts including board meetings, and overseas special projects.  The executive Assistant has digital fluency and is social media savvy and enjoys working within a small entrepreneurial environment that is mission-driven, results driven, and community oriented.   We are seeking an exceptionally bright, multitasking and self-motivated individual who pays superior attention to detail, is able to meet tight deadlines, has great organizational skills, and is able to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the Foundation is important.

The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture.

Key Responsibilities Include

  • Proactively coordinate and engage with leadership in planning and organizing events, activities and calendars.
  • Management of complex calendar and scheduling requirements
  • Tracking and helping drive completion of key deliverables and following up on outstanding items
  • Acting as a liaison for direct reports
  • Driving key team activities (such as staff meeting agendas, all-hands meetings, supply ordering)
  • Managing group logistics
  • Travel coordination

Basic Qualifications

  • 5+ years of experience assisting at the executive level
  • Proficient with Office 365 suite and has demonstrated skills in database management and record
  • BA or BS degree, preferably with an emphasis in HR or Nonprofit Management
  • Excellent written, verbal and digital communication skills
  • Detail oriented
  • Organized and willing learn tasks outside of their comfort zone
  • Strong digital/social media literacy and skills
  • Is familiar with common forms of digital marketing
  • Has Passion for operations; high aptitude for being proactive, and a creative problem-solver
